Excel exports
The Report Data Export produces an Excel file of all the data behind a saved report. You reach it from the Report Exports button on a Project Form Report.
Creating, generating, editing and downloading an export is reserved for senior managers and above. If you do not have a high enough role, the relevant buttons either do not appear or do not work when you use them.
The export table
Section titled “The export table”The page shows a table describing the export:
- Export State: where the export is in its build (it becomes ready once the file has finished generating).
- Upload Date: a date column for the export (it is not currently set, so it always shows “Never”).
- Coded Answers: whether the export replaces answers with numeric codes.
Generating an export
Section titled “Generating an export”Use Generate Export to build the file. A dialog titled “Confirm generate export” appears with a Confirm button.
The export is then built in the background. It does not download straight away. After confirming you see the message:
Your export has begun, relead the pages to see the current state. Once it has completed the download link will become clickable
Reload the page after a while to check the Export State. The Download File button is always shown, but only once the build finishes does it point to a file you can actually download.
Settings and answer codes
Section titled “Settings and answer codes”The Edit button opens the export settings, including a Coded Answers toggle. When this is on, the export replaces each answer with a numeric code assigned automatically from the position of the option in the question’s option list.
The Answer Codes card lists those codes in a table with the columns Question, Subject and Codes, so you can see exactly which code stands for which option in the file.
